Remove Duplicate Records from HR CSV Exports and Applicant Lists

HR teams pulling employee data, applicant lists, or engagement survey responses from their HRIS or ATS frequently encounter duplicate records — the same employee ID twice, a candidate who applied through two channels, or a survey respondent counted multiple times. Deliteful's CSV Deduplicate tool removes those duplicates cleanly, using the identifier column you choose, before the data enters a report or dashboard.

When headcount reports are built from CSV exports containing duplicate employee IDs, the result is inflated FTE counts that misrepresent workforce size to leadership or auditors. When applicant tracking exports contain duplicate candidate entries from multi-channel sourcing, recruiters waste time on outreach to the same person twice. These are not edge cases — they are routine artifacts of HRIS exports, ATS pulls, and manual data consolidation across departments.

Deliteful's deduplication is non-destructive: it keeps the first occurrence of each unique value in your chosen key column (e.g. 'employee_id', 'email', or 'applicant_id') and removes subsequent duplicates while preserving every other column and the original row order. The output is a clean CSV ready to paste into a report template, upload to a BI tool, or share with a department head — without any manual filtering in Excel.

How it works

  1. 1

Export your HRIS or ATS data as CSV

Pull the employee roster, applicant list, or survey response file from your system.

  2. 2

    Upload to Deliteful

Drag the file into the uploader on the CSV Deduplicate tool page.

  3. 3

    Enter your key column

Type the column name that should be unique — e.g. 'employee_id' or 'email'.

  4. 4

    Download the clean file

Receive a deduplicated CSV with original formatting intact, ready for reporting or re-import.

Frequently asked questions

Our HRIS exports sometimes have the same employee listed twice with different department values. Which row is kept?
Deliteful keeps the first occurrence of the duplicate key and removes the rest. If two rows share the same 'employee_id', the first one in the file is retained with all its column values intact.
Can I deduplicate an applicant list on email address to catch candidates who applied through multiple job boards?
Yes. Enter 'email' as the key column and the tool will retain only the first record for each unique email, removing any subsequent entries from other sources.
Will this work on engagement survey exports where respondents submitted the form twice?
Yes. If you have a column that uniquely identifies a respondent — such as employee ID or email — you can deduplicate on that column to keep only their first submission.
Is employee data processed securely?
Deliteful processes files server-side and outputs a clean CSV for download. For specific data retention and security policies, refer to Deliteful's privacy policy before uploading sensitive employee data.
